Strengthening Quality Assurance: DEBESMSCAT Conducts Series of Consultative Meetings

Series of consultative meetings were conducted by the Quality Assurance Office with Ms. Rocel A. Turco as the newly designated Quality Assurance Director. The meetings conducted were to assure that the quality assurance office aligns with all the plans set by the institution and foster collaboration between units and colleges upholding quality in every step of the process.

The unit in its first consultative meeting with the newly-designated Quality Assurance (QA) Director, Rocel A. Turco; Quality Assurance (QA) Officer, Rex G. Torrefiel; and Quality Assurance (QA) Staff, Margie V. Bartolata.

The first meeting was conducted last February 3, 2025 to provide Ms. Turco the opportunity to gain insight into the office’s daily operations, workflow and responsibilities. This includes all the documentation and activities carried out by the unit. The unit also conducted a brief review of the documents and activities planned out during the Annual Budgeting and Operational Planning last September 2024 to help build rapport and understanding between the director and the staff, defining every team member’s role in tasks and ensuring efficiency in every process. The team was able to identify problems and challenges to address which was provided with solutions and contingency, in case other risks may occur.

After the first meeting, a second consultative meeting followed last February 5, 2025 as the office continue to enhance the operation of the unit. This meeting was conducted to set the unit’s performance commitment and align them in the performance commitment of each team members. The unit was able to produce a performance commitment that encourages shared tasks and motivates every team member into becoming accountable and responsible for their assignments. It was also agreed that the unit conducts regular monitoring to keep track of the unit’s performance, achievements, and progress while also ensuring that the unit takes its necessary breaks and leaves. The unit believes that with proper planning and consultation, operational efficiency can be achieved.

QA Coordinators, Department Heads and College Deans represented by the OICs with the newly-designated Quality Assurance (QA) Director, Rocel A. Turco; Quality Assurance (QA) Officer, Rex G. Torrefiel; Quality Assurance (QA) Staff, Margie V. Bartolata; and Student Intern.

The third consultative meeting was called for the purpose of setting and soliciting ideas on the conduct of accreditation visits which was plotted in the AACCUP Accreditation Master Plan 2025. Ms. Turco presided the meeting last February 19, 2025 with the presence of the QA Coordinators, Department Heads and the College Deans of all the programs involved. The body was able to craft a schedule in preparation for accreditation and agreed on the conduct of “Compliance Report & Narrative Profile Write shop”. This will help in crafting a comprehensive report for the upcoming visit. Ms. Turco also requested for an earlier submission of Area Leaders so that the unit will be able to expedite the process. Concerns and feedbacks from the past accreditation visits were also solicited and discussed for the improvement of the unit.

Overall, the consultative meetings are a helpful process in improving the unit’s decision-making process making it easier for the unit to mobilize. This will also strengthen teamwork and collaboration as well as explore various approaches in achieving the goals of Quality Assurance (QA) which is essential in the unit’s advocacy of excellence and quality.
